Refund policy

At Waco Diamonds, we understand that your jewelry purchase represents one of life’s most meaningful milestones. Whether you are celebrating an engagement, anniversary, or another special moment, we want you to shop with confidence. If a qualifying purchase is not the right fit, our team is here to help guide you through our return process.

Returnable Items

The following in-stock items may be returned within 14 calendar days of delivery or in-store pickup, subject to inspection and approval by Waco Diamonds:

  • In-stock lab-grown diamond engagement rings
  • In-stock lab-grown loose diamonds
  • In-stock wedding bands
  • In-stock fine jewelry, excluding earrings for hygiene reasons

All returns require a Return Authorization from Waco Diamonds before the merchandise is shipped or brought back for return.

Non-Returnable Items

The following items are final sale and are not eligible for return, refund, exchange, or store credit:

  • All custom-made jewelry
  • All made-to-order engagement rings
  • Any engagement ring built using a customer-selected center diamond
  • Any ring modified or customized at the customer’s request
  • Resized rings
  • Engraved jewelry
  • Loose diamonds after mounting or setting
  • Custom-ordered diamonds
  • Special order pieces
  • Clearance or sale items
  • Earrings

For purposes of this policy, custom jewelry includes any ring or jewelry piece built, assembled, modified, or manufactured specifically for a customer after purchase, including rings built using selected diamond and setting combinations.

Natural Diamond Sales

All natural diamond sales are final sale and are not eligible for return, refund, exchange, or store credit.

This includes, but is not limited to:

  • Loose natural diamonds
  • Natural diamond engagement rings
  • Natural diamond jewelry
  • Special-order natural diamonds
  • Custom natural diamond jewelry

Return Requirements

To qualify for a return, items must be in their original condition and pass inspection by Waco Diamonds.

Returned items must be:

  • Unworn
  • Unaltered
  • Not resized
  • Not engraved
  • Free of damage
  • In original packaging
  • Returned with all original certificates and grading reports
  • Returned with appraisal paperwork when applicable
  • Returned with all original documentation and authenticity materials

Failure to meet these requirements may result in denial of the return or reduced refund eligibility.

Return Window

Eligible items may be returned within 14 calendar days from:

  • Date of delivery
    OR
  • Date of in-store pickup

Returns requested after the 14-day return window will not be accepted.

Return Shipping

Customers are responsible for all return shipping costs.

For your protection, we strongly recommend using a fully insured shipping method with adult signature confirmation.

Waco Diamonds is not responsible for items that are lost, stolen, or damaged during return transit.

Refund Processing

Once returned merchandise is received, Waco Diamonds will inspect the item within 3–7 business days.

Approved refunds will be issued as either:

  • Refund to original form of payment
    OR
  • Store credit

Refund timing may vary depending on your payment provider or financial institution.

Loose Lab-Grown Diamond Restocking Fee

Approved returns of eligible loose lab-grown diamonds are subject to a 15% restocking fee.

This fee helps cover vendor costs, shipping, inspection, relisting, and administrative processing associated with loose diamond returns.

Refund Exclusions

The following charges are non-refundable:

  • Original shipping charges
  • Rush production fees
  • CAD design fees
  • Custom design fees
  • Loose diamond restocking fees
  • Certain third-party financing, payment processing, or transaction fees where permitted by law

Inspection & Fraud Prevention

All returned merchandise is subject to detailed inspection to protect against fraud, damage, and product tampering.

Waco Diamonds reserves the right to verify:

  • Diamond grading reports
  • Stone characteristics
  • Laser inscriptions
  • Identifying documentation
  • Condition and wear

All diamonds sold by Waco Diamonds are documented using grading reports, internal records, and identifying characteristics.

Any evidence of the following may result in the denial of the return:

  • Diamond or gemstone swapping
  • Tampering
  • Unauthorized repairs or alterations
  • Damage caused during ownership
  • Material discrepancies
  • Missing certifications or documentation

Initiating a chargeback or payment dispute while a return is under review may pause or void return processing until the dispute is fully resolved.

Custom Order Cancellation Policy

Custom jewelry orders require significant design work, material sourcing, scheduling, and manufacturing commitments.

Cancellation Within 7 Days

Custom orders may be canceled within 7 calendar days of purchase.

Customers may choose either:

  • 80% refund of deposit (20% cancellation fee applies)
    OR
  • 100% store credit

The 20% cancellation fee helps cover costs already incurred, including:

  • CAD design work
  • Design consultation time
  • Material sourcing
  • Administrative processing
  • Production scheduling

Cancellation After 7 Days

After the 7-day cancellation window, deposits become non-refundable.

However, the deposit value will remain available as store credit toward future Waco Diamonds purchases.

This ensures customers do not fully lose their deposit while recognizing the substantial work and costs incurred during the custom design process.

Final Approval

Waco Diamonds reserves the sole discretion to:

  • Approve or deny returns
  • Determine return eligibility
  • Inspect the merchandise condition
  • Calculate refund amounts
  • Interpret policy terms
